AI Agents for Finance and Accounts Payable

AI agents for finance read invoices, receipts and statements, match them against your records and prepare the work your finance team approves. Aaga builds finance agents that integrate with your ERP or accounting system, follow your approval rules and log every step, so by default nothing is posted or paid without human sign-off.

  • Capture and validate invoices from email, portals and scans without manual keying
  • Run 2- and 3-way matching against purchase orders and goods receipts
  • Chase overdue receivables and missing documents on a schedule you control
  • Keep a complete audit trail of every extraction, match, approval and posting

Use Cases

What Can AI Agents Do in Finance?

Finance agents do the reading, matching and chasing. Your team reviews exceptions and approves anything that changes the books.

  • Invoice Capture

Reads invoices from inboxes, supplier portals and scans, extracts header and line items, and checks totals, tax details and duplicates.

  • Three-Way Match

Matches each invoice to its purchase order and goods receipt within the price and quantity tolerances you set, and explains every mismatch.

  • AP and AR Follow-Ups

Asks suppliers for missing documents, answers payment-status queries and sends polite reminders on overdue receivables.

  • Reconciliation

Matches bank, card and payment gateway transactions to ledger entries and proposes entries for the items left over.

  • Expense Audits

Checks expense claims against policy, receipts and limits, and flags duplicates, missing receipts and out-of-policy spend for review.

  • Month-End Close and Reporting

Tracks the close checklist, chases task owners, prepares schedules and drafts variance commentary for the controller.

How It Works

How Does an AI Invoice Processing Agent Work?

  1. Capture

Invoices arrive by email, portal or scan. The agent picks them up and files the original as the source document.

  2. Extract and Validate

It reads supplier, dates, tax IDs, totals and line items, then checks them against your vendor master and for duplicates.

  3. Match

It runs a 2- or 3-way match against the purchase order and goods receipt, within your tolerances.

  4. Route Exceptions

Mismatches, new vendors and unusual amounts go to the right person with the evidence and a suggested resolution.

  5. Prepare for Approval

Clean invoices are coded and prepared as entries in your ERP, waiting for an authorized approver.

  6. Post and Log

After approval, the entry is posted and every step, with who approved it and when, is kept in the audit trail.

Integrations

Which Accounting Systems and ERPs Does It Integrate With?

Aaga's finance agents integrate with the system you already run, through its APIs or the integration options it supports. No migration is usually needed.

  • Tally

Prepares vouchers and ledger updates for review and import, a common setup for Indian businesses working with GST.

  • Zoho Books

Creates draft bills and invoices, reads contacts and payments, and supports reconciliation work.

  • QuickBooks

Creates draft bills, matches payments and keeps vendor and customer records consistent.

  • Xero

Prepares bills and bank reconciliation suggestions for your team to review and approve.

  • SAP Business One

Works with purchase orders, goods receipts and AP invoices for 3-way match and exception handling.

  • NetSuite

Works with vendor bills, purchase orders and item receipts, following your approval routing.

What Are AI Agents for Finance?

AI agents for finance are software agents that handle the reading, checking and chasing in finance operations. They work with your ERP or accounting system, your inboxes and your bank data. They extract data from invoices, match it to purchase orders, follow up on missing documents, reconcile transactions and prepare entries. Authorized people approve anything that touches the books.

This is where AI accounts payable automation differs from older tools. OCR reads characters. Rule-based automation breaks when a supplier changes its invoice layout. An agent understands the document, checks it against your records and policy, and explains what it found. It also knows when to stop and ask.

Aaga builds these agents as part of our AI agent development work, using our own platform for workflows, permissions, approvals and audit logs.

Which Finance Workflows Should You Automate First?

Start where volume is high, rules are clear and every action can be reviewed before it is final.

Workflow Why it suits an agent Human control point
AP invoice processing High volume, varied layouts, clear matching rules Approval before posting and payment
Supplier queries Repetitive "when will I be paid?" questions Disputes and bank detail changes
AR follow-ups Scheduled, polite, data-driven reminders Disputes, credit holds, write-offs
Bank and gateway reconciliation Many small transactions, predictable patterns Review of proposed entries
Expense audits Policy checks against receipts and limits Decisions on flagged claims
Month-end close support Checklists, schedules and reminders Close sign-off

If your invoices arrive alongside delivery notes, bills of lading or proofs of delivery, our guide to AI document processing in logistics shows how the same matching approach works across those documents.

How Do Approvals, Controls and Audit Trails Work?

Finance agents must fit your controls, not work around them. We design every finance agent with these in place:

  • Segregation of duties. The agent prepares; a different, authorized person approves. The agent cannot approve its own work.
  • Approval limits. Amount thresholds, vendor risk and exception types decide who must approve.
  • Bank detail changes. Requests to change supplier bank details are always routed to a person and verified outside email, a common fraud pattern.
  • Hard limits in code. Tolerances, posting rights and payment rights are enforced in the integration layer, not just in the prompt.
  • Complete audit trail. Every extraction, match, edit and approval is logged with who did it, when and from which source document.

These controls can make the agent easier to audit than a manual process, because every decision has a record.

Working With Your ERP or Accounting System

The agent can integrate with your existing system, whether that is Tally, Zoho Books, QuickBooks, Xero, SAP Business One or NetSuite. Integration happens through each system's APIs or its supported import options. Where data is spread across tools, the agent works across them, which is often where enterprise integration work comes in.

How Do You Measure a Finance Agent?

Measure it against a baseline from your current process, on your own documents. During a pilot we track:

  1. Field-level accuracy. How often each extracted field (supplier, date, tax ID, total, line items) matches what a person confirms.
  2. Straight-through rate. The share of invoices that match cleanly and only need a quick approval.
  3. Exception reasons. Why the rest were routed to a person, so the right fix goes into vendor data, tolerances or the agent.
  4. Cycle time. Days from invoice receipt to approval, and from close start to sign-off.
  5. Duplicates and errors caught. Issues stopped before payment or posting.

Low-confidence fields are never guessed. They go to a reviewer, and every correction becomes a new test case.

Build It or Have It Run for You

Some teams want to own the agent. Others want the outcome without running it. Aaga does both: we build agents your team operates, or we run the workflow for you through AI-powered business operations, with reviewers handling exceptions.

Aaga is an AI-native engineering company that has worked with 100+ clients across the USA, Canada, the UK, the Netherlands, Dubai (UAE) and India. You work directly with senior engineers, and you can start with a free consultation and one scoped pilot, such as AP invoice processing for a single entity.

Popular Questions

Frequently Asked Questions

AI agents for finance are software agents that use language models and your finance systems to do document-heavy, rules-based work: reading invoices, matching them to orders, chasing missing documents, reconciling transactions and preparing entries. Authorized people review exceptions and approve anything that is posted or paid.

Three-way matching checks that an invoice agrees with its purchase order and the goods receipt on supplier, items, quantities and prices before it is paid. An AI agent can extract the invoice data, run the match within your tolerances and explain each mismatch. Your team resolves the mismatches and approves payment.

Not by default. Aaga designs finance agents to prepare entries and payment runs, and authorized people approve and release them. Some teams later allow automatic posting for narrow, low-value, fully matched cases, but that is your decision and is set as a hard limit in code.

We can integrate with Tally, Zoho Books, QuickBooks, Xero, SAP Business One and NetSuite, among others, through their APIs or supported import and integration options. For in-house or older systems, we look at database access, file imports or other safe options.

It depends on your documents: layouts, scan quality, languages and how consistent your suppliers are. We measure field-level accuracy and match rates on a sample of your real invoices during the pilot, and low-confidence fields always go to a person instead of being guessed.

Every extraction, match, edit, approval and posting is logged with the user or agent that did it, the time and the source document. Agents get the minimum permissions they need, approvals follow your segregation of duties, and data access is restricted by role.

Yes. Agents can track the close checklist, remind task owners, prepare reconciliations and schedules, and draft variance commentary for review. The controller still reviews the numbers and signs off the close.
