What Can AI Agents Do for HR?
HR agents handle coordination, paperwork and repeat questions. Decisions about people stay with people.
Candidate Screening Support
Summarizes each application against written, job-related criteria and shows the evidence, so recruiters review faster. It does not auto-reject.
Interview Scheduling
Finds slots across interviewers' calendars, sends invites and handles reschedules and reminders for candidates and panels.
Candidate Communication
Answers candidate questions about the role and process, and keeps them updated at each stage with messages your team approves.
Onboarding Workflows
Runs the onboarding checklist: collects documents, requests IT access, assigns training and reminds owners of open tasks.
Employee Helpdesk
Answers questions on policies, leave balances, holidays and benefits from your handbook and HRMS, and cites the source.
HR Requests and Letters
Handles routine requests such as employment letters and record updates, with HR approving anything sensitive.
How Does an AI Recruiting Agent Support Hiring?
Write the Criteria
The hiring manager and recruiter agree on job-related criteria in writing. The agent works only from these.
Summarize Applications
The agent summarizes each application against the criteria, with evidence from the CV, and flags missing information.
Recruiter Reviews
A recruiter reviews every summary and decides who moves forward. The agent never rejects a candidate on its own.
Schedule Interviews
The agent books interviews, sends reminders and handles changes across calendars and time zones.
Keep Candidates Informed
Candidates get timely updates and answers to process questions, in messages your team has approved.
Audit and Monitor
Inputs, outputs and decisions are logged, and outcomes are reviewed regularly for signs of adverse impact.
What the Agent Does vs What People Decide
The agent does the coordination and the first read. Your HR team and managers make the decisions.
| AI HR agent | Your HR team and managers | |
|---|---|---|
| Screening | Summarizes applications against job-related criteria, with evidence | Decides who advances, who does not and why |
| Interviews | Finds slots, sends invites and handles reschedules | Runs interviews and makes hiring decisions |
| Offers | Prepares offer letters from approved templates | Sets compensation and approves every offer |
| Onboarding | Tracks tasks, sends reminders and collects documents | Approves access, handles exceptions and welcomes the hire |
| Employee questions | Answers from your policies and cites the source | Handles sensitive, personal and grievance matters |
| Fairness | Logs inputs and outputs and reports outcome data | Reviews audits and decides what to change |
AI supports HR work. Hiring, promotion, pay and disciplinary decisions stay with people.

What Are AI Agents for HR?
AI agents for HR are software agents that handle the coordination, paperwork and repeat questions in people operations. They work with your HRMS, applicant tracking system, calendars and chat tools. They schedule interviews, run onboarding, prepare letters, answer policy questions and give recruiters a structured first read of each application.
What they do not do is decide about people. Hiring, promotion, pay and discipline stay with your HR team and managers. That is both good practice and, in a growing number of places, a legal expectation. Aaga builds HR agents as part of our AI agent development work, with approvals, permissions and audit logs from our own platform.
Where Do HR Agents Help Most?
The best starting points are high-volume, low-risk tasks where delays frustrate candidates and employees.
| Task | Risk level | Good first pilot? |
|---|---|---|
| Interview scheduling | Low | Yes |
| Employee policy and leave questions | Low to medium | Yes |
| Onboarding checklists and reminders | Low | Yes |
| Employment letters and record updates | Medium | Yes, with HR approval |
| Candidate screening support | High | After the basics, with safeguards and legal review |
Scheduling and the helpdesk show value quickly and build trust in the agent before you move into screening.
How Do You Use an AI Recruiting Agent Responsibly?
An AI recruiting agent should make recruiters faster and more consistent, not hand decisions to a model. We build in these safeguards:
- Job-related criteria only. Criteria are written and agreed before screening starts, and the agent works only from them.
- No protected characteristics. Names, photos, ages and other sensitive details, and obvious proxies for them, are kept out of the agent's inputs where possible.
- Evidence, not scores alone. Every summary shows which parts of the application support it, so a recruiter can check it.
- No auto-rejection. A person reviews every outcome. The agent cannot reject a candidate on its own.
- Outcome monitoring. Selection rates are reviewed across groups, so signs of adverse impact are caught early.
- Candidate notice. Candidates are told when AI supports the process, and how to ask for an alternative where the law provides one.
NYC Local Law 144 and the EU AI Act
Two rules shape how many employers approach this. New York City's Local Law 144 covers automated employment decision tools used for hiring or promotion decisions in the city. It requires a bias audit by an independent auditor within the year before use, a public summary of the results and advance notice to candidates. The EU AI Act classifies AI used for recruitment and selection as high-risk, with requirements around risk management, data quality, logging, transparency and human oversight that apply in phases.
Other places have their own rules, and they change often. This page is not legal advice. We design for transparency and human oversight by default and recommend that your employment counsel review each deployment.
The Employee Helpdesk
Many HR questions repeat every week: How many leave days do I have? What is the holiday calendar? How do I claim this benefit? An HR helpdesk agent answers these from your handbook and HRMS, cites the policy it used and hands anything sensitive to a person.
It can run on Slack, Microsoft Teams, email or WhatsApp. If you only need answers from documents, a grounded AI chatbot may be enough. The agent adds actions, such as applying for leave or requesting a letter.
Working With Your HRMS
The agent can work with Workday, BambooHR, Zoho People, Keka and Darwinbox, among others, through their APIs and supported integrations. Permissions are limited to what each workflow needs. HR data is among the most sensitive data a company holds, so access is logged and restricted by role. Teams often pair an HR agent with an AI agent for finance for payroll inputs and expense workflows.

Frequently Asked Questions
AI agents for HR handle coordination and repeat work: summarizing applications against job criteria, scheduling interviews, running onboarding checklists, preparing letters and answering employee questions on policies and leave. People keep every decision about hiring, pay, promotion and discipline.
No. Aaga builds recruiting agents that support recruiters, not replace their judgment. The agent summarizes applications against written criteria and shows its evidence, and a person decides who advances. The agent does not reject candidates on its own.
We use only written, job-related criteria, keep protected characteristics and obvious proxies out of the agent's inputs, require human review of every outcome and log everything for audit. We also help you monitor selection rates across groups, so problems surface early and can be fixed.
Increasingly, yes. New York City's Local Law 144 sets bias audit and notice requirements for automated employment decision tools, and the EU AI Act treats AI used in recruitment as high-risk. Rules differ by location and change often, so we design for transparency and human oversight and recommend reviewing each deployment with employment counsel. This is general information, not legal advice.
Aaga's HR agents can work with Workday, BambooHR, Zoho People, Keka and Darwinbox, among others, plus calendars, email and chat tools. Integration uses each platform's APIs or supported integration options, with permissions limited to the data each workflow needs.
Agents get the minimum access they need, data is restricted by role, and sensitive fields are kept out of model inputs where they are not required. Every access and action is logged, and we design data handling around the privacy laws that apply to you, such as GDPR or India's DPDP Act.
Yes. The same helpdesk agent can answer on Slack, Microsoft Teams, WhatsApp, email or an intranet page. It answers from your approved policies, cites the source and hands sensitive or personal matters to a person in HR.
